Job Purpose

Global Business Services (GBS) executes the shared services activities for HR, Finance, IM and NPR into a single global organization with regional hubs serving the business in their respective regions. GBS optimizes the delivery for these functions and strives to deliver at market cost and excellent service. GBS has set as objective to give back time to our businesses so that they can focus more on our customers, growing their business and innovation. GBS delivers the work regionally and enables standardization of processes through a central approach. GBS is transforming to an end-to-end process organization that is designed to execute business supporting processes. In order to move to the new model and transition work to the places that are best suited for the activities, several transition projects will run over the coming years. Transition projects encompass all activities needed for a successful move of activities towards the GBS services operating model, following a standard transition approach, with no disruption to the business.

Key Accountabilities

Describe the responsibilities as clearly as possible. Which tasks is the job holder responsible for and in what way? What results are to be achieved? 

The Project Manager manages one or multiple projects according to the methodology. The projects involve moving of activities, changes in systems, and optimization of processes. The projects have stakeholders in the business, functions and operations (which could be outsourced). They can be international and can be complex. The projects need to be tightly managed in order to prevent business disruption. The Project / Transition Manager will support the development and sharing of the project methodology and will manage a variety of projects in GBS (Finance, People Services, Procurement).

The deliverables are specified in the minimum requirements for projects and the transition methodology

Work transitions
-    Liaise with sending organization about the scope of work and the sequence of transitions
-    Define the transitions and align with receiving organization within GBS
-    Prepare business case and enable decision making process
-    Plan and manage the transition projects according to the GBS methodology within time and budget
-    Align stakeholders in the receiving and sending organizations, Functions and Business
-    Enable the decision-making process in the transition and host stage gate review meetings
-    Lead the transition team
-    Keep proper documentation (logs) and report on project progress to Management
-    Manage escalations and provide solutions
-    Manages changes to the scope of the transition 
-    Create and maintain collaboration environments for projects, using SharePoint or similar software
-    Maintain and improve master transition plans and templates in MS Project
-    Train junior staff on use of transition methods and tools and helps support PPM tool usage
-    Documents policies, procedures, and accelerators to be used as best practice for transition management into shared service centers

Minimum of 4 - 7 years of Project Management

  • Required: Must have been primary responsible manager for at least 10 projects end-to-end.
  • Desired: Experience as Portfolio Manager or Program Manager for matrixed business unit or functional group
  • Required: Experience working in mid/large complex and diverse environments
  • Desired:   History working within a shared services or BPO organization. Demonstrated experience with more than one industry type including consulting experience or service delivery experience.
  • Required: Ability to work in several locations to travel (internationally) up to max 20%.
  • Desired: Proven track record of conducting business in a mixed-language environment. 
  • Coaching/Mentoring/Training:
  • Desired: Experience training, mentoring, and/or coaching new project managers.
  • Required: Microsoft Office Suite (Word, PowerPoint, Excel), MS Project and Project Server.
  • Desired:  SAP; SharePoint
  • Required: Fluent in English
