Job Purpose

Responsible for the daily support needed to ensure a successful Human Resources Information System (HRIS). This position provides functional support for Human Resources systems which includes design, development, testing, implementation, maintenance, reporting and training. This person will partner with internal and external stakeholders on Human Resources system usage, functionality, data requirements and design for process improvement. They will troubleshoot and resolve Human Resources system issues.

Key Accountabilities

  • Maintain local organizational structures within core Human Resources system; including legal entities
  • Coordinate the creation, modification or delimiting of organizational units
  • Work closely with global Organizational Management, Master Data Services and People Services teams to assist with facilitation of timely and accurate actions submitted by local teams such as:
    • Position Management
    • Cost Center Master Management / Updates
    • Job Catalog Mapping (for applicable position levels)
    • Local / Global Bulk Restructuring Exercise (mass uploads)
  • Actively engage with the Global People Services teams and Local Human Resources Administrators to pro-actively communicate and align on any Organizational Management related developments / changes / processes
  • Monitor desk top procedures (DTPs) as they relate to HRIS and provided training to Local People 
  • Services team so they are up to date on all system changes and/or updates related to HR systems
  • Initiate improvements locally and support the Local Human Resources Administrators in improving data quality of internal Human Resources system
  • Work closely with payroll and payroll vendor to escalate, troubleshoot and correct all data issues to ensure no errors before payroll processing. This is ongoing considering the frequency of payrolls: weekly, semi-monthly and monthly
  • Regularly (at least once a quarter) carry out data quality checks (for example on vacant positions) and report redundancies/gaps if any
  • Raise defects, test and resolve defects with payroll vendor and communicate to the Global People Services teams and/or Local Human Resources Administrators
  • Translate reporting and analytics demands for all systems into standard reporting
  • In cooperation with Global Analytics Specialist, support rollout of reporting tool and strategy within the US
  • Work closely with payroll accountants to ensure employee records are properly flowing from end to end and are reflected in the general ledger postings. Troubleshoot and correct issues
  • Participate in system upgrade regression testing
  • Assist Human Resources and/or Managers with escalated issues
  • Holds a Super Administrator Role for US, Canada and Mexico with the ability to correct data
  • Data quality contact for Mexico; facilitates and coordinates reorganizations and business changes between HR Mexico and Global Organizational Management/Master Data Services via the ServiceNow system
  • Complies with Department of Homeland Security Anti-Terrorist reporting database. Provides ongoing updates for new hires and terminations based on agency guidelines
  • Works closely with other countries and local People Services teams to ensure the timely and proper handling of transfers between countries (Expatriates and Impats)

Education and Experience

  • Bachelor’s degree in Human Resources or Information Technology or equivalent experience
  • 3 years’ experience in a customer focused, technical support-based role working with Human Resources or Information Technology systems
  • Ability to act pro-actively and seek Continuous Improvement
  • Ability to interact with global stakeholders and build customer relationships
