About the Role
We are seeking a proactive and highly organised Facilities Coordinator to support our Engineering and Maintenance team. This role is essential in ensuring smooth facility operations, maintaining compliance, managing documentation systems, coordinating service providers, and overseeing maintenance stores and purchasing processes.
You will enable the Engineering team to focus on key Safety, Reliability, and Cost Reduction initiatives by ensuring all administrative, coordination, and storekeeping activities are executed efficiently and accurately.
Key Responsibilities
1. Safety & Compliance
- Review contractor inductions via WOL system and coordinate annual contractor reviews
- Participate in 5S and BBS initiatives
- Support site compliance requirements and documentation standards
2. Maintenance Coordination & Document Control
- Coordinate servicing of non-technical service providers including HVAC, Test & Tag, pest control, plumbing, and water quality testing
- Print, enter, update and close work orders in SAP
- Maintain accurate and current engineering documentation systems
- Record and file all external service provider reports
- Produce weekly and monthly plan adherence reports
3. Maintenance Spares & Store Management
- Manage inward and outward processing of maintenance spares
- Conduct cycle counts and ensure inventory accuracy
- Raise purchase orders for spare parts
- Monitor and review min/max stock levels
- Create and update spare parts records in SAP
4. Purchasing & Financial Administration
- Raise purchase requisitions for Engineering and Maintenance
- Review contractor site hours against invoices for accuracy and compliance
- Goods receipt invoices relating to maintenance and CAPEX
- Coordinate purchasing workflow with internal and external stakeholders

- Advanced Microsoft Office skills
- Experience with document control systems
- CMMS experience (SAP preferred)
