Site Administrator – Felling

Job Purpose

We are looking for an organised and proactive Site Administrator to join our manufacturing site in Felling, Gateshead. Reporting to the Site Director, you will play a vital role in ensuring the smooth day-to-day operation of the site by providing professional administrative and operational support across multiple business functions.

As a key point of contact for employees, visitors, suppliers and the site leadership team, you'll coordinate a wide range of activities including administration, communications, employee support, travel, facilities and financial processes. This is a varied role that requires exceptional organisation, attention to detail and the ability to thrive in a fast-paced manufacturing environment.

 

Job Responsibilities

  • Provide professional administrative support to the site management team and wider business functions.
  • Coordinate calendars, meetings, visitor arrangements and travel bookings.
  • Prepare reports, presentations, meeting agendas and minutes.
  • Maintain accurate records, filing systems and confidential documentation.
  • Coordinate internal communications and prepare site-wide announcements.
  • Provide reception cover when required, welcoming visitors and supporting front-of-house activities.
  • Support employee onboarding, inductions and site access arrangements.
  • Coordinate Occupational Health appointments and employee engagement initiatives.
  • Organise meetings, training sessions, audits and employee events.
  • Manage office supplies, PPE, stationery and general site requirements.
  • Support purchase orders, invoice processing and operational administration.
  • Coordinate utility administration, overtime arrangements and other site support activities.
  • Build strong relationships with colleagues, contractors, suppliers and external stakeholders to ensure the site operates efficiently.

 

Job Requirements

  • Previous experience in an administrative, office support, receptionist, personal assistant or site coordination role.
  • Experience working within a manufacturing, industrial or operational environment is desirable.
  • Excellent working knowledge of Microsoft Office, including Outlook, Word, Excel and PowerPoint.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • A proactive approach with excellent problem-solving and coordination skills.
  • Friendly, approachable and professional with outstanding interpersonal skills.
  • Ability to work independently while contributing as part of a collaborative team.
