Job Purpose
The Operations coordinator provides direct management support to the Corporate Communications Director and the Communications leadership team, combined with a range of operational and administrative tasks for the wider Corporate Communications function.
The Operations coordinator is focal point for procurement related matters, such as the creation and follow-up of purchase order numbers and payments and spend monitoring.
This role will also provide administrative services and support during the implementation of different projects in the wider communications team, including set up and management of the AkzoNobel promotional shop, monitoring generic mailboxes and ensuring the Brand Center(-tool) is kept up-to-date.
The Operations coordinator is responsible for pro-active high-quality management support to the Director Corporate Communications, including calendar management and organizing and coordinating business trips and business events.
Key Accountabilities
- Responsible for the creation and follow-up of Purchase Order numbers and payments
- Provide administrative services during the implementation of different projects in the wider communications team
- Administrative support to organize communications/brand trainings
- The Operations coordinator manages the promotional shop and the AkzoNobel inbox
- Work closely with Creative Services team members to ensure assets on the Brand Center are available and regularly updated
- Support the team with operational tasks related to the brand portal, ensuring the tool runs smoothly and is kept up to date
You will also support the Director Corporate Communications with:
- Calendar management: prepare (virtual) meetings with the relevant documentations, IT and facility requirements
- Agendas and participants; take care of the visitors’ reception; organize, facilitate and attend team meetings
- Preparation of different documents and presentations as well as their distribution
- Take care of expense reports and monitoring spend of direct reports of the manager;
- Organize business trips from A-Z
Experience
• At least 2 years of professional experience in a similar role, preferably within a listed, international, and dynamic corporate environment
• Strong oral, written and interpersonal communication skills to effectively work with all levels of the organization (English)
• Ability to proactively collaborate with team members to ensure timely, efficient and accurate output
• Proficiency in the use Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint)
• Understanding of corporate communications and brand strategies
• High level of organizational savvy and organizational sensitivity
• Ability to maintain high level of confidentiality and work with sensitive data and information
• Proven basic project management skills to organize and follow through on actions
• Excellent prioritization skills and ability to independently seek solutions
• Proactively looks to improve administrative and team processes
• Strong customer services orientation and attention to detail.
