Management Assistant

Purpose of the job

 You provide high quality management support to senior people managers/ directors on Level 3, as well as contribute to a professional office administration.

Key responsibilities

Calendar management:

  • Prepare the meetings with the relevant pre-read
  • Book meeting rooms with MS Teams
  • Host visitors, provide relevant information to them and introduce them to the appropriate Leadership team members
  • Organize team meetings, workshops and off sites, internally and externally.


Virtual meetings:

  • Prepare the virtual individual and group meetings with the relevant documentation
  • Book meeting rooms with MS Teams
  • Ensure it is clear who will attend the meeting remote or in person

Travel:

  • Collect information about planned business trips
  • Arrange visas, air and train ticket reservations, book hotel rooms, make restaurant reservations
  • Manage travel wallet budget
  • Help in the preparation of different documents, presentations and booklets as well as their distribution within AkzoNobel
     

Manage internal process:

  • Responsible for the creation and follow up of Purchase Orders (SRM / Purchase Service Now tool).
  • Creation of new vendors/suppliers (Purchase Service Now / Supplier Self Registration).
  • Managing P-card process.
  • Provide administrative services during the implementation of different projects.
  • Concur Solutions: take care of expense administration and monitoring spend of direct reports of the manager(s).
  • On- and offboarding: assist the manager(s) in the handling of formalities associated with on- and offboarding.
  • Internal contacts with Facilities and Information Management, ensuring everything runs smoothly in the team.
  • Sharepoint site owner; maintaining access requests, site set-up, etc.

What do you bring?

• Bachelor's Degree or similar working experience
• Fulltime availability
• At least 5 years of professional experience, preferably within an international and dynamic corporate environment
• Ability to proactively collaborate with team members to ensure timely, efficient and accurate output and backfill in case of absence of one of the colleagues
• High level of organizational savvy and organizational sensitivity
• Strong oral, written and interpersonal communication skills to effectively work with all levels of the organization (in Dutch and English

• Ability to maintain high level of confidentiality and work with sensitive data and information
• Experience in (internal) Communications
• Proficiency in the use Microsoft Office (Word, Excel, PowerPoint) and SAP SRM, Concur and similar programs
• Proven basic project management skills to organize and follow through on actions
• An open, approachable and helpful team player able to work in an inclusive and supportive way
• Excellent prioritization skills and ability to independently seek solutions
• Proactively looks to improve administrative and team processes
• Strong customer services orientation and attention to detail

This position is based in Amsterdam, The Netherlands and preferably you live in this area
