Are you an experienced Executive Assistant looking for an exciting opportunity within a dynamic corporate environment? We are seeking a dedicated individual to join our team as a Management Assistant, providing top-tier management support to senior leaders and contributing to professional office administration.

The Role and its Responsibilities

  • Calendar Management: Efficiently manage schedules, prepare meetings with relevant pre-read materials, book meeting rooms via MS Teams, and ensure smooth visitor reception.
  • Virtual Meetings: Organize virtual individual and group meetings, facilitate documentation, and clarify attendance details.
  • Travel Arrangements: Coordinate business trips, including visa arrangements, travel bookings, and budget management.
  • Document Preparation: Assist in creating various documents, presentations, and booklets for distribution within the organization.
  • Purchase Orders: Responsible for creating and monitoring purchase orders using SRM/Purchase Service Now tools.
  • Vendor Management: Create new vendor profiles and manage the P-card process.
  • Project Support: Provide administrative support during project implementations.
  • Expense Administration: Manage expense administration through Concur Solutions and monitor spending for direct reports.
  • On- and Offboarding: Assist with formalities related to onboarding and offboarding processes.
  • Internal Coordination: Liaise with Facilities and Information Management to ensure smooth operations.
  • SharePoint Management: Maintain ownership of SharePoint site, including access requests and site setup.

Job Requirements

  • Bachelor's Degree or equivalent experience.
  • Minimum 5 years of experience as an Executive Assistant, preferably in an international corporate setting.
  • Proactive collaboration skills with the ability to backfill for colleagues.
  • High organizational savvy and sensitivity.
  • Excellent communication skills in Dutch and English.
  • Ability to maintain confidentiality with sensitive data.
  • Experience in internal communications.
  • Proficiency in Microsoft Office, SAP SRM, Concur, and similar programs.
  • Basic project management skills.
  • Strong team player with a customer service orientation.
  • Excellent prioritization and problem-solving abilities.
  • Proactive mindset for process improvement.
