Job Purpose

Knowledgeable person on HR-IT systems: recurring support activities, operations and change management. Understand and deliver the system requirements in cooperation with workforce administrators, process administrators and payroll experts of various countries (France, Germany, Netherlands, Poland, Sweden, UK). All of this in line with the AkzoNobel global standard operating model.

Operations & coordination (50% of time): support operations via case management (ServiceNow):

  • Technical issues with country specific HR-IT systems, also in connection to the global HR system SuccessFactors (supported by global team in India)
  • Integration issues for country payroll and time management systems
  • User account management
  • Mass changes for data migration or acquisitions
  • Stakeholder management is one of the key requirements for successful support on operations. The workforce- and process administrators are managed on strict SLA’s and of course payroll is driven by a strict monthly planning (payment dates). HR-cases are registered in ServiceNow, the workload based on the number of cases can vary.

 

Recurring activities (30% of time): various activities supporting multiple EU countries:
 

 

  • Payroll and time management processes (monthly & annual)
  • HSE reporting (monthly)
  • Diversity, absence, audit, and legal required reports (on request)
  • Running batch jobs for time management
  • These activities are documented in SOPs to guarantee a stable service delivery which is planned in the overall workload. The execution is subject for continuous improvement and RPA (Robotic Process Automation)
     
  • Change management (10% of time): responsibility to deliver changes on the local and regional (EU) HR-IT systems. This requires coordination with 3rd party suppliers, workforce- and process administrators and the country payroll teams.
  • The change management process is based on scrum methodology. The planning of stories in sprints is aligned together with the global team supporting SuccessFactors.
  • Learning & development, communications (10% of time): the activities as described above, and the setup of the HR-IT system landscape are subject to change. Self-development and learning are needed to keep up to date on new developments. Also, the demand of workforce- and process administrators and the country payroll teams require a pro-active approach: knowledge handover about the support of systems within the end-to-end processes is key.
  • Coordination towards system specialists India and working together with team leads EU countries in Poland:
  • This role requires a close working relationship with the system specialists in India and the team leads based in Poland:
  • The team member in the Netherlands reports directly into the manager Global HR service delivery, and the role requires to be on top of escalations, functionality, data, and the overall workload.
  • For the workload there is a dotted line to the team members in India.
  • For support and alignment on change and operations there is a dotted line to the EU country team leads.
  • Occasional travel to India and Poland might be part of this role.
     

Responsibilities

  • Deliver stable and sustainable HR-IT system environment, covering recurring support activities, operations and change management.
  • Be the technical support partner for HR-IT systems for workforce- and process administrators and country payroll teams.
  • Act as key contact person with global systems experts and information management team (cross region).
  • Lead for change management process and operations in case of escalations
  • Drive the governance on communications, use of flow charts and SOP’s,
  • Share knowledge on the HR-IT system landscape with various stakeholders,

Experience


•    Bachelor’s degree in IT (or equivalent), or medior with 2-4 years of experience in a customer focused, technical support-based role (IT service organization).
•    Knowledge or interest in HR IT systems: time management and payroll, HR suite (for example SuccessFactors, Workday or Oracle HCM)
•    Understanding on scrum methodology (Agile).
•    Pro-active and supportive, with good community building skills.
•    Excellent Excel, Powerpoint and Sharepont skills; ability to handle (big) data analysis.
•    Knowledge on ServiceNow is preferred.
•    Strong written and verbal communication, interpersonal and presentational skills, including a high standard of written and spoken English.
•    Presentation skills to organize and host system demos. 
•    Ability to work under time pressure and manage priorities and expectations.
