Purpose of the job

In this role you will be the Executive Assistant to the Director Corporate Legal who is a member of the Legal Leadership Team and actively support the Corporate Legal Team, the Corporate Secretariat and the wider AkzoNobel Legal Group. In addition, you will be the process coach of several key processes within ALG, contributing to a professional and smooth running of the legal function within AkzoNobel.

Key responsibilities

Office management:

  • Monitor, and oversee the agenda and calendar including re occurring meetings and align functional and corporate calendar;
  • Create and process expense reports;
  • Assist with the on- and offboarding of colleagues;
  • Internal contacts with Facilities and IT;
  • Draft or edit documents (PowerPoint, Word, Excel etc.);
  • Work with various ALG systems (e.g. ALG MMS, SAP/VIM, Coupa, Concur);
  • Manage Corporate Legal Team Sharepoint site.

 

Meetings and Events;

  • Prepare the (virtual) meetings with the relevant documentations, IT and facility requirements, agendas and participants;
  • Organize and attend team meetings, workshops, conferences and off-sites, internally and externally and support with the program and (follow-up of) the action planning;
  • Take care of the visitors’ reception; provide relevant information to them and introduce them to the appropriate team members;
     

Travel;

  • Organize the business trips from A-Z: arrange visas, air and train ticket reservations, book hotel rooms, make restaurant reservations and create the program;
  • Manage the team’s travel wallet budget.

 

Process support

  • Process coach of ALG MMS (Matter Management System), Coupa (purchasing) and SAP/VIM (vendor invoice management);
  • Active role in creating, managing and follow-up of Purchase Order numbers for Legal EMEA (including monitoring the Legal Spend Helpdesk inbox together with colleague), legal vendor management, and escalation of vendor payment issues;
  • Administration and management of Insider Lists and Confidential Project NDAs;
  • Assist Corporate Secretary with administration of Standing Insiders/Share Dealing process (including informing Standing insiders on open and closed periods); 
  • Assist with filing of legal documents, collecting approvals, authorizations and signatures on legal documents; assists with filing and archiving of legal documents.
     

What do you bring?

  • Secretarial/Management Assistant qualification / Bachalor’s Degree or similar;
  • At least 5 years’ of professional experience as a management assistant, preferably in an international corporate environment. Experience working in a legal environment is an advantage but not required;
  • Fulltime or 4 days/week availability with flexibility to occasionally work outside standard hours;
  • Strong oral, written and interpersonal communication skills to effectively work with all levels of the organization (in English and, preferably, Dutch);
  • Proficiency in the use of Microsoft Office (Outlook, Word, Excel, PowerPoint, Sharepoint). Preferably experience with systems as SAP, SRM, Coupa, Concur and Repstor Custodian (the legal matter management system);
  • Ability to maintain high level of confidentiality and work with sensitive data and information;
  • Proven basic project management skills to organize and follow through on actions;
  • An open, approachable and helpful team player, able to work in an inclusive and supportive way;
  • Proactively looks to improve administrative and team processes;
  • Strong customer services orientation and attention to detail.
