About the Role

At AkzoNobel, we believe that great leaders are supported by exceptional people behind the scenes. We are looking for an experienced Executive Assistant to join our Finance organization on a six-month fixed-term contract. In this role, you will be a trusted partner to senior leaders, ensuring smooth day-to-day operations and helping create an environment where our leadership team can perform at its best.

You will play a key role in enabling effective leadership by anticipating needs, coordinating priorities, and ensuring operational excellence across a broad range of administrative and organizational activities.

 

 

Key Responsibilities

  • Executive Support & Calendar Management
  • Manage complex calendars and scheduling for senior Finance leaders.
  • Coordinate meetings, prepare agendas and supporting documentation, and ensure all logistics are arranged.
  • Organize internal and external meetings, workshops, leadership events, and off-site sessions.
  • Welcome and coordinate visitors and ensure a professional experience.
  • Meeting & Event Coordination
  • Organize virtual and in-person meetings using Microsoft Teams and other collaboration tools.
  • Ensure meeting participants, locations, and materials are aligned and communicated effectively.
  • Support leadership team meetings and cross-functional initiatives.
  • Travel Management
  • Coordinate domestic and international business travel arrangements.
  • Arrange flights, trains, accommodations, visas, and other travel requirements.
  • Monitor travel-related budgets and expenses.
  • Administrative & Project Support
  • Prepare presentations, reports, communications, and other business documentation.
  • Support project teams with administrative coordination and follow-up activities.
  • Create and manage purchase orders and related administrative processes.
  • Process and monitor expense claims through Concur.
  • Employee Lifecycle Support
  • Assist with onboarding and offboarding activities in collaboration with HR.
  • Coordinate practical arrangements for new starters and departing employees.
  • Support team engagement activities and special occasions.
  • Team Collaboration
  • Work closely with fellow Executive Assistants in a collaborative support model, providing back-up coverage when required.Build strong relationships with internal stakeholders, including Facilities, IT, HR, and Finance teams.
  • Identify opportunities to improve administrative processes and ways of working.

 

 

What You Bring

  • Bachelor’s degree or equivalent professional experience.
  • Minimum 5 years of experience as an Executive Assistant, preferably supporting senior leaders within a multinational organization.
  • Excellent organizational and prioritization skills, with the ability to manage multiple tasks simultaneously.
  • Strong communication skills in both Dutch and English, written and verbal.
  • High level of discretion and ability to handle confidential information.
  • Experience supporting senior stakeholders in a fast-paced corporate environment.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience with systems such as SAP, Concur, or similar business applications is an advantage.
  • Strong attention to detail and a proactive, solution-oriented mindset.
  • Collaborative team player with a customer-focused approach and a commitment to excellence.
